Quality defects import from China: product families and prevention

A manufacturing defect is rarely visible on a product photo online. This article reviews, product family by product family, the defects commonly encountered when importing from China, and then the concrete ways to prevent them.

Why defects vary from one product family to another

A factory rarely excels everywhere: a line that sews jackets has neither the machines nor the control methods of an electronic board assembler. Defects follow the processes. Molding produces shrinkage, sewing produces puckering, electronic assembly produces cold solder joints. Knowing the defects specific to each process allows you to prohibit them in writing before production, rather than discovering them on the delivered carton.

The second cause lies in the specification itself. In most product non-conformity files we open, a subject was simply not written: alternate color, wood moisture content, charger standard. Faced with silence, the factory chooses the cheapest solution. Naming each requirement with its tolerance costs much less than a batch rework.

  • A process defect: injection shrinkage, sewing puckering, cold solder joint.
  • A material defect: different fabric composition, wood too humid, unauthorized recycled mix.
  • A compliance defect: prohibited substance, CE marking without file, charger unsuitable for the destination country.

Textiles and clothing: colors, stitching, composition

The first textile defect is color variation between batches. The same dye reference, applied in a different booth or on a different fabric roll, gives a different result. A validated reference sample, kept in two copies, serves as a standard to compare each batch. Next come sewing puckers, pulled threads, and skipped stitches, concentrated in tension areas.

Fabric composition deserves a separate check. A label stating pure cotton proves nothing until a test confirms the material, and phthalates or azo dyes fall under REACH Regulation (EC) No 1907/2006. A laboratory test on a sample from the production batch, not just the approval sample, remains the evidence that can be used in a dispute.

  • Validate a reference sample and keep one copy on each side.
  • Compare each delivered batch to the validated color under daylight.
  • Have the composition and regulated substances tested on a sample from the batch.

Electronics and small appliances: wiring, charger, marking

Defects often concentrate on accessories. The charger delivered with the device must match the destination country, and that is where errors appear: wrong plug, too thin cable, unstable voltage. An inspection before loading opens random cartons and checks the actual content, unit by unit, before the container leaves.

CE marking affixed without a technical file or declaration of conformity constitutes a non-compliance in itself. The marking commits the manufacturer, and the importer assumes its own obligations in the European Union. Request the declaration corresponding to the exact product reference, keep it, and verify that the delivered product matches the declared one.

  • Check charger, cable, and plug on units taken out of the carton.
  • Request the declaration of conformity and technical file before production.
  • Run a sample from each batch for several hours, then recheck others.

Injected plastics: dimensions, finish, material

Injection leaves visible traces: weld lines, sink marks at the base of ribs, flash on the parting line. Out-of-tolerance parts pose a more serious problem because they no longer assemble. A new or poorly maintained tool drifts over production runs, and the defect only appears during assembly. Checking parts with a caliper, dimension by dimension, against the specification, detects this drift before loading.

Material is the other point of vigilance. A part ordered in virgin resin may come out as recycled blend, more brittle and duller. Request the material data sheet, then test the strength of randomly selected parts from the batch to limit this risk. For a product in contact with food, Regulation (EU) No 10/2011 sets migration requirements, and it applies to the material actually delivered.

Furniture, wood and metal: humidity, screws, corrosion

Wood delivered too moist deforms in Europe: warped tabletop, split panel, cracked varnish. The factory climate and the destination country climate differ, and a rushed drying does not show in a photo. A moisture meter check on structural parts before finishing avoids most of the risk.

On the metal side, corrosion arises from a coating that is too thin or humid storage, and it sometimes appears only after a few weeks. Incomplete hardware and wrong packaging complete the picture: a kit delivered without its spacers is enough to cause customer returns. Counting the hardware and the contents of a few cartons during inspection takes little time and avoids entire disputes.

Toys and children's products: safety first

Toys fall under Directive 2009/48/EC and EN 71 standards, covering substances, flammability, and mechanical properties. Typical defects involve poorly fixed small parts, sharp edges, cords that are too long, and paints. A detachable part within a child's reach becomes an ingestion risk, and this defect only appears in a pull test, never in a photo.

CE marking affixed without testing or a file exposes the importer to a market withdrawal, with the cost and reputation damage that entails. Accredited laboratory testing on the finished product, ordered before mass production, remains mandatory. Regulation (EU) 2023/988 on general product safety, applicable since December 2024, adds the obligation to display on the product the contact details of a responsible person established in the Union.

01Where to start to avoid defects when importing from China?
With a written specification, with quantified tolerances and a reference sample validated by both parties. In most cases, non-conformity arises from a point that no one put in black and white. The validated sample then serves as the benchmark for inspection.
02Can you reject an entire batch for a few defects?
Rejection is decided on a sampling plan, not case by case. Common practice, derived from ISO 2859-1, uses an AQL of 2.5 for major defects and 4.0 for minor defects. If the lot exceeds the agreed threshold, rework is negotiated before payment of the balance.
03Who pays for the rework of a non-conforming batch?
What was agreed before the order, and which appears in the purchase contract: sorting at the factory, new production, discount or rejection of the batch. Without a written clause, the discussion takes place after production, in a weak position, especially if the balance has already been paid.
04Is pre-loading inspection enough to avoid everything?
It intercepts visible defects on ready-to-ship cartons and puts pressure on the factory at the right time. It does not replace lab testing for substances or production monitoring for high-stakes products. The three complement each other.
